- Scattered paper and files
- Your scans, with readable text
- One library with a register
- Found by any word in the document
What digital means here
A scanned page on a computer is a photo of paper. It is digital when four things are true:
- It can be found. You type a supplier name, a product code or a phrase from inside the document and it appears, from any computer or phone.
- It has one current version. Everyone opens the same file, and the old versions are kept but marked.
- It has an owner and a place. The register says who is responsible for it and where it lives, so nobody asks around.
- The work around it is digital too. The form, checklist or approval that used to travel on paper now travels as a file, with a record of who did what and when.
Scanning gives you the first copy. Organising, naming, the register and one working process give you the other three, and that is what the five days are for.
An example
An invoice from a supplier arrives in March. Today someone scans it, saves it as scan_0431.pdf in a folder called Scans, and the paper goes to the accountant. In October a colleague needs it and asks three people.
After the five days, the same invoice is saved as 2026-03-14_Supplier_Invoice_1187.pdf in the folder Invoices, 2026, March, under the rules your team agreed. In October the colleague types the supplier's name or the invoice number and has it in seconds, along with every other invoice from that supplier.
What you receive
A document register. Every key document in one place, with its owner, current version and location.
An organised library. A clear structure and naming rules in Google Drive, set up in your account. You search by any word in a clearly scanned or digital document, not just the file name, from your phone or computer. If your documents may not leave your building, we set up the same structure on a server you own.
Searchable files. You scan your paper documents, or bring the files you already hold digitally. We organise, name and file them so any word in a clearly scanned or digital document can be found by search. Handwriting and faint copies may not be searchable. Scanning itself is not part of the service. If you need a scanner or a scanning service, we will point you to one.
One digital process. One paper form, checklist or set of work instructions turned into a digital version your team uses.
A short plan. The next three steps, including where an AI assistant would save the most time.
The five days
Day 1. Visit and walk-through. We list your documents and choose the process to digitise.
Days 2 to 3. Register, library structure, naming rules and filing of your scanned documents.
Day 4. The paper process becomes digital, tested with the people who use it.
Day 5. One-hour training for your team, handover and the written plan.
After handover
Your library keeps growing after we leave. Your team scans or saves new documents into one agreed folder, names them by the rules we set together and records them in the register. The training on day 5 covers this routine, and the written plan names who owns it.
If you already scan your documents
We start from your existing archive, organise it into one structure and make it searchable. Documents still on paper are scanned by your team, before or during the five days, and join the same library.
Drawings, diagrams and manuals
Technical drawings, wiring diagrams, installation guides and product manuals go into the same library as your invoices and contracts. Each one is named, registered and found by the text it carries: title, part number, supplier, project or the labels on the drawing. Reading what a diagram shows, not only what it says, is the work of the Assistant Pilot that follows.
Your accountant gets order, not a pile
Invoices, receipts, contracts and bank statements leave your office named and sorted by month and supplier. Your accountant receives order instead of a pile.
What we need from you
- One contact person, about three hours across the week
- Access to your Google account
- Your scanned files, in any folder or on any drive
Usually no new software is needed. Large archives may need more Google storage, which you buy directly from Google.

Ready for e-invoicing
The Federation of Bosnia and Herzegovina has adopted a law that moves business invoicing to electronic invoices in the EU standard. The timetable is still being set. Organised, searchable invoices and records make that switch easier to prepare. The five days put your documents in that position. Fiscalisation itself runs through the government platform and your accountant.
For accounting firms
If your clients' documents arrive in disorder, we can put order into how they send them. We also organise a firm's own archive in the same five days. Write to us to talk about a client of yours or your own office.
